About this position
The Coordinator, Provider Scheduling assists with the daily operational needs of the department. Provides scheduling review for accuracy, assigns staff accordingly, and works to resolve staffing issues. Tracks and maintains scheduling reports that support operational efficiencies. Establishes effective communication with Advanced Practice Provider and Physician Team Members, as well as contracted Locums providers and contracted providers. Partners with division leadership as well as leadership of related departments with relation to schedule. Maintains relevant administrative support as appropriate to area. Works in tandem with departmental or program leadership to cover the operational needs of staffing the department 24/7.
Coordinate provider schedule as well as assignments to various sites as indicated by department needs (ex. hospital, clinic, surgical)
Accountabilities: • Coordinates daily, monthly, annual staffing schedules of providers within assigned department(s). • Resolves staffing gaps with leadership assistance. • Maintains accurate assignments in the schedule systems data base(s). • Assists with calendar management of employed provider team as needed by department. • Meets with providers, manager and site lead to discuss scheduling needs and issues. • Coordinates orientation of new providers with North Memorial Provider Services and leadership as needed by department • Establishes relationships with employed, locum and independent contractors to build a team of reliable providers. • Provides insight to continuous improvements of the staffing and scheduling process. • Reviews and edits timecards as needed by department may include:Tracking and maintaining reporting on time away for staffing and payroll needs. • Assist providers as needed department and or Provider Services with CME provider requests and expense reports. • Provides administrative support as needed by department for learners with relation to onboarding and scheduling clinical rotations. • Supports Providers with scheduling meetings with team members as needed by department. • Optimizes the functionalities in the Scheduling Software • Maintains administrative contact lists of providers as needed by department . • Orders business cards, lab coats, pagers and office supplies as needed by department • Manages providers mail as needed by department. • May be tasked with general administrative support duties for the department. • Accepts other duties as assigned to promote the accomplishment of organizational goals. • The team member is accountable to demonstrate proficiency for the skills outlined in the appropriate position skills list. • The team member is accountable to maintain skill proficiency, including improvement where deemed necessary, and upgrading any additional or new skills on the appropriate position skills list. Compliance • Recognizes and complies with legal regulatory, accrediting and procedural requirements related to area of responsibility. • Understands and follows principles and standards as outlined in North Memorial’s Corporate Code of Conduct. • Protects customer and team member privacy and only accesses customer and/or team member related information as needed to perform job duties. • Reports violations or areas of concern to supervisor or Corporate Compliance Officer via established methods of communication.
Requirements
Education
• High School Education required. • Associate or bachelor's degree preferred.
Experience
Experience • 2 years' experience with scheduling in a complex Healthcare setting highly desirable • 2 years' experience with customer service relevant to working with physicians and APPs desirable. • Experience using scheduling software or equivalent. Knowledge, Skills and Abilities • Proficiency with Computer Skills: Microsoft, Outlook, Excel, Teams as example but not limited to. • Preferred experience in scheduling software systems such as QGenda and or AMION. • Excellent verbal and written communication skills. • Strong problem solving skills. • Attention to detail and accuracy required. • Ability to prioritize tasks and multi-task in high pressure fast-paced environment. • Ability to work independently.
